Documents required for mailed-in applications

If you have been issued a 10-year Australian passport since 2005, or if you are applying for a child passport, you can apply by mail. All other applications must be made in person.  Children aged 16 and 17 years old must attend an interview with one parent.  

 

Eligibility

You are eligible to use this service if you meet one of the following requirements:

 

  1. An adult submitting the Australian Passport Renewal Application (PC7) form

  2. An adult submitting the Australian Overseas Passport Application (PC8) form who has been issued a 10-year Australian passport since 2005

  • This includes applications for a new passport because of a name change, gender change, lost, stolen or damaged passport
  1. Submitting a children’s Australian Overseas Passport Application (PC8) form.


If you don’t meet one of these criteria, you’ll need to book an appointment to lodge your application in person. This includes individuals applying for their first adult passport, those who have not held a passport since 2005, and those replacing a limited validity passport or emergency passport. 

If you’re eligible to apply for an Australian passport by mail, you must read this information carefully before starting your application.

 

Documents

You can complete your application form at passports.gov.au. You will be automatically directed to the correct form to complete.

You can read our strict photograph guidelines, here. It is important to know that the Australian standard for passport photos is different to the Danish standard. Ensure you ask the photographer for Australian passport photos and refer them to our photo guidelines.

Renewing a passport (PC7 application form)

 

Mailed applications for an adult with a valid passport or ten-year passport that expired less than three years ago must include:

  • A completed application form (PC7), download here
  • A photocopy of the page with your photo and personal details from your most recent Australian passport 
  • A completed payment authorisation form
  • Two standard Australian passport photographs, one with your full name (including middle names) written on the back.

 

Please make sure that:

  • The application form is signed using black ink
  • White boxes on the form are clearly visible (scroll to the bottom to see a sample photo)

 

Some Adult passports (PC8 application form)

 

Mailed-in applications for adults with a ten-year passport that was issued after 2005 and expired more than three years ago, and applications for a new passport because of a name change, gender change, lost, stolen or damaged passport must include:

  • A completed application form (PC8), download here
  • A certified copy of the page with your photo and personal details from your most recent Australian passport
  • Certified copies of all supporting documentation and identity documents
  • A completed payment authorisation form
  • Two standard Australian passport photographs, one with a guarantor endorsement on the back (check “Who can be my guarantor?” guidance section below)
  • Supplementary forms (if applicable).

 

Please make sure that:

  • The application form is signed using black ink
  • White boxes on the form are clearly visible (scroll to the bottom to see a sample photo)
  • Certified copies are made by Notary Publics, or others who are accredited to perform Notarial Acts (see Certifying true copies of documents or photographs on our Notarial Services page). If certified copies are not available, you will be required to book an appointment.

 

New Child Passport (PC8 application form)

 

Mailed-in applications for a child must include:

  • A completed application form (PC8), download here
  • A certified copy of the page with the child’s photo and personal details from their previous or current passport (If applicable)
  • Certified copies of the child’s supporting documentation and lodging parent’s identity documents
  • A completed payment authorisation form
  • Two standard Australian passport photographs, one with a guarantor endorsement on the back (check “Who can be my guarantor?” guidance section below)
  • Supplementary forms (if applicable).

 

Please make sure that:

  • The application form is signed using black ink
  • White boxes on the form are clearly visible (scroll to the bottom to see a sample photo)
  • Certified copies are made by Notary Publics, or others who are accredited to perform Notarial Acts (see Certifying true copies of documents or photographs on our Notarial Services page). If certified copies are not available, you will be required to book an appointment.
  • Guarantors complete their relevant page in full and endorse one photo (see next section).

 

Who can be my guarantor? 

If you are lodging an Overseas Passport Application Form (PC8), you must have a guarantor to verify your identity. The guarantor must fill in section 12 on the application form and endorse the back on one photograph by writing "This is a true photo of (applicants full name)” and sign it.

 

To qualify as a guarantor the person must:

  • Not be related to the applicant by birth or marriage, and
  • Be 18 years of age or over, and
  • Not be in a de facto relationship with the applicant (this includes same sex relationship), nor live at the same address, and
  • Have known the applicant for at least 12 months, or since birth for a child applicant who is under 1 years of age.

In addition, the guarantor must be either

  • An Australian citizen and holder of a current Australian passport with at least two years validity, or
  • A foreign national currently working in one of the occupational categories listed below:

Accountants
Bailiffs
Barristers, Solicitors and Patent Attorneys
Bank Managers
except managers of bank travel centres
Chartered Professional Engineers
Clerk of Courts
Clerk of Petty Sessions
Dentists
Teachers
Judges
Marriage Celebrants
Members currently serving in the regular Australian Defence Force with at least five years continuous service
Members of the Chartered Institute of Company Secretaries in Australia
Pharmacists
Police Officers with at least 5 years continuous service
Public Servants who have been employed continuously for at least 5 years by their current employer
Registered Medical Practitioners
Registered Nurses
Registered Veterinary Surgeons
Stipendiary Magistrates
Teachers

What if there are no guarantors in my country?

  • If you have not spent more than 12 months in your country of residence or you do not know anyone who fit the Guarantor categories, you can get someone from another country to act as your guarantor.
  • The categories still must be met, but they can complete the Guarantor requirements via email.
  • To have your Referee endorse a photo of you, please attach a passport photo onto page 5 of the PC8 application form (where it says photo face up) and scan this as PDF.
  • Scan the page with the photo and email it to your Guarantor along with the Guarantor page (page 3 of the application, section 11).
  • Your Referee must print out the Guarantor page and complete it by hand with BLACK pen.
  • S/he must also print out the page with your photo attached and write the following in the box to the right of the photo: “This is a true photo of [applicant’s name]” following by the Guarantor’s signature.
  • Your Referee can then scan the documents and email them back to you.

 

Passport Form Instructions

 

  • Please sign your name inside the white box marked ‘1’
  • If any part of your signature is outside the white box, please sign again in the second box marked ‘2’
  • Applications where the signature is outside the box, or where the white box is not visible, will not be accepted.
